Reservation Policy

Every reservation is subject to a written reconfirmation and the acceptance of our reservation, payment and cancellation policies. Clients are responsible to familiarize them self with the following terms before submitting a reservation through any form of communication. The terms and policies are considerably accepted through a client after submitting the required deposit payment. Any policy or term adjustment is subject to a reconfirmation in written. Response time may vary between 24-72 hours.

Reservation Information

Because of the increased security on various government levels we may request additional personal information as deemed necessary and required to complete a reservation. Please Note: We cannot accept non-completed reservation request forms. Mandatory information at the time of reservation are: • travelers full name • home address • email • phone or fax number and age of the primary renter. Additional flight or ferry reservation requiring the names and birthdates of all travelers.

Privacy

We generally do not provide third parties – including accompanying travelers - with any details of your reservation. Your personal information will be used solely to complete the reservation as requested.

Service Charges

Due to the increasing expenses in conjunction with individual reservations we will apply a service charge to any of the following bookings: (1) campground reservation (2) sightseeing tours (3) ferry reservation (4) event reservation

Please inquire. Service charges are non-refundable in case of a cancellation or tour itinerary changes. All RV reservations for less than 7 days are subject to a service/handling fee of US$50.00. The charge is intended to cover phone and fax expenses, documentation -, payment processing -, and/or reservation fees. Some exceptions may apply. Rates

All rates and services within Canada are quoted in ($) CAD Dollar and within the United States in ($) US unless otherwise specified or confirmed in written. Please refer also to our invoice. A client may request a specified exchange rate for any tradable currency at the time of the reservation but he still remains responsible for any currency exchange rate increase above 5 % until the actual travel date. Currency exchange rate decreases are not affected through this arrangement.

Taxes

Published individual accommodation rates are including of all applicable taxes levied at the time of publication unless otherwise specified. Tax rebates for overseas visitors are incorporated. All pre-paid RV reservation including local and federal taxes. Applicable tax rates are subject to change without further notice. We reserve the right to adjust our rates if the current tax rates are changing.

Payment Policy

To guarantee your travel arrangements we require a deposit of 25 % of the total invoice amount within 10 days after receipt of our written confirmation. Thus, a limited number of suppliers may require a higher deposit and certain advertised pre-season specials must be paid in full within 10 days. Please check our invoice for details. Accepted payment forms are personal checks, money orders, direct bank transfers and wire payments. Credit cards are accepted with a supplementary processing fee of 5 %. The credit card service fee will be added to your invoice at the time of reservation.  All reservations must be paid in full 60 days prior to your arrival. Reservations made less than 60 days prior to the travel date are subject to immediate full payment of our invoice. Any service fees, bank charges or processing/transfer fees are the responsibility of the sender. Occurring charges will be charged back to the sender. We reserve the right to cancel any reservation not paid on or before the due date(s). Cancellation fees are applying.

Late Payments

Under no circumstances are client’s accepted/accommodated unless the full payment has been received on/or before the due date(s). We reserve the right to cancel any part - or the entire tour arrangements - if the deposit and/or balances are not paid at the due date indicated on our invoice. Unauthorized deductions from invoices or late payments may also result in an automatic cancellation. Cancellation fees are still applying according to our cancellation policy below. All cancellation fees are due immediately after receipt of the appropriate invoice and may be deducted from the deposit/balance already received.

Refunds

Unused tour services or any portion thereof are non refundable. Cancellations or tour changes after the departure date are subject to applicable cancellation fees. A supplier may cancel a reservation for reasons beyond or control. All refund requests are only honored in written and within fourteen (14) days of the cancellation. Each request must be accompanied by the appropriate documentation. The refund processing time is approximately four (4) weeks.

Complaints

We strongly advise every client to inform our company immediately – at the latest within 48 hours - after an incident, complication or problem occurred. Complaints after departure or delayed complaints - for whatever reason - are not honored through us. Please contact the appropriate supplier directly on his toll free service line to resolve the problem.

Service Rates

Our RV Rental Rates - do not include gasoline, optional insurance, road tolls, city transfers, additional driver fees, northern preparation surcharges, national park entrance fees, one-way rental fees, winterized driving equipment and child seats – unless otherwise stated. We reserve the right to substitute units of a similar category or upgrade clients at our discretion and expenses - if the reserved unit is not available for any reason. Hotel Accommodation - including local and federal taxes. Specific room assignments are the sole discretion of the hotel management. Ferry Reservation – include transportation as specified for the number of people indicated on the invoice. RV space is limited to the pre-reserved overall length/height specification. If a client receives locally an RV upgrade it will be his responsibility to inform the ferry company about this immediately to ensure sufficient space at the time of departure. Additional transportation expenses may be paid prior to departure. Other Arrangements - please refer to our invoice or online documentation.

Rental
Requirements

A valid driver license and a major credit card are mandatory for all vehicle rentals and/or the designated driver. Please Note: Due to insurance coverage requirements and applicable laws the minimum age for drivers is 25 years and the maximum age is 65 years. Some supplier accepting drivers 21 years + if additional insurance is pre-purchased. For additional information please refer to the appropriate section on our web pages.

Travel Documents

Each client shall be responsible for obtaining valid travel documents, complying with customs and other regulations of the country to which they are traveling. Our company cannot accept responsibility for any problems related to/and or in obtaining these documents.

Appropriate tour documents will be either mailed to the address on our file or transmitted via email attachment about 21 days prior to departure. If you do not receive the documents in time please contact us immediately.

Flight Reservations

All flight reservations are based on a limited availability and on restricted airfares. These fares may require full payment within 48 hours after confirmation or at the time of reservation. All fares are non-refundable and may not be modified after a reservation is confirmed even if a particular carrier provides different information. Thus, we cannot assume responsibilities for any fare increase up to the departure date. Important Notice: Flight reservations in conjunction with RV reservations and/or other travel arrangements are non-refundable - even if the reservation has been cancelled through our company or a particular supplier for whatever reason. Please do not make any flight arrangements through us if you cannot accept these terms and restrictions.

Involuntarily Cancellation or Changes

It is usually unlikely that we will make any changes to your reservation after a confirmation. However, because we do not own or have any control over the suppliers who will provide you with the rental units - we reserve the right to make reasonable minor or major changes and correct errors at any time after confirmation on: (1) website information (2) to rental agreement details (3) the departure day (4) to up/downgrades of the rental units (5) to cancel confirmed bookings due to circumstances beyond our control. We will inform you about such changes and/or cancellations immediately and as they occur. Minor changes are considered up/downgrades, changes within the reservation policies and short notice departure delays beyond our control. Clients have the following options if minor changes are occurring: (1) accept these changes (2) accept any downgrade with the appropriate price difference refund (3) accept an upgrade without paying any additional charges (4) accept departure delays with a refund of the unused rental days. Major changes are considered involuntarily cancellations through our supplier and/or our company. If this occurs we will refund all monies paid to us according to the “Refund Policy” section of these terms. Thus, further compensations are not applicable.

Modifications

Once your reservation is confirmed any changes thereof up to 61 days prior to the actual travel date – e.g. pick up/drop off dates, unit size, location, primary renter etc - are subject to a changing/modification fee of $100.00 per reservation. Note: In some instances a cancellation fee may already apply. Thus, we cannot assume responsibilities for availabilities etc. We reserve the right to reject any name change if the new primary renter does not meet the rental requirements. Any modification made less than 60 days prior to the departure date are considered cancellations and are subject to cancellation fees according to our “Cancellation Policy”. Please forward any modification request in written.

Cancellation Policy

The following cancellation (No-Show) fees are applicable - without exceptions to: (1) every confirmed reservation (2) voluntarily or involuntarily cancellation notices (3) reservation modifications made less than 61 days prior to departure (4) non, insufficient or late payment of invoices on due dates

We strongly recommend purchasing sufficient cancellation insurance through our company or a third party provider.

Individual Hotel Reservation

Ferry Reservation
Up to 90 days in advance - 25 % of all applicable charges
Up to 60 days in advance - 50 % of all applicable charges
Less than 60 days in advance – no refund 

RV Rental
Up to 60 days in advance - 25 % of the entire rental rate
Up to 30 days in advance - 50 % of the entire rental rate
Up to 21 days in advance - 75 % of the entire rental rate
Less than 21 days in advance or No-Show - 100 % of the entire rental rate

RV Rental One Way Fees
One-way rental reservation fees are generally non-refundable at any time or under any circumstances 

RV Rental - Northern Charge

A 50 % cancellation fee applies to any cancellation or modification

Changes to Policies

We reserve the right to revise these policies at any time without further notice. The place of jurisdiction shall be the country of this company legitimate formation or the country where the actual reservation originates in.

Indemnification

Our company, its employees, authorized agents and/or affiliated companies acting only as agents - and therefore none of them shall be liable for any damage, loss, loss claims, accident, injury or delay which may be generated by reason of any company or person who engaged in conveying the travelers, or otherwise in connection therewith, or of any owner, manager or employee. We accept no responsibility for losses or additional expenses due to delay or changes in train -, bus -, ship -, airplane - or other transportation services, sickness, weather, war, quarantine, government action and/or other causes.
